Summary

Use the standard three-day scheduling process for all services, regardless of client or facility type. Start with the client’s preferred communication method, follow up with a response deadline, and add outreach methods on the final day if the client has not responded. Work order fields track the timeline and communications to help determine whether scheduling can happen on time.

Step-by-step

  1. Check HubSpot for the client’s preferred scheduling method.
  2. On day one (D1), send the initial scheduling outreach using that method.
  3. On day two (D2), about 24 hours later, repeat the D1 script.
  4. Include a specific deadline for the client to respond in the D2 communication.
  5. On day three (D3), the next day, make the final scheduling outreach using the same communication approach.
  6. Add a couple of other outreach methods on D3 if the client has not responded.
  7. Use the work order’s tracking fields to record the scheduling timeline and communications.
  8. Use the timing of outreach and follow-ups to determine whether the work order can be scheduled on time.
