CONTACT ASSOCIATION LABELS: What are the options for CONTACT association labels and what do they mean?
There are multiple unique contact roles in our clients' organizations. We use association labels to communicate these unique roles to the rest of our team and so HS can manage workflows effectively.
- IMPORTANT: To match the way that our clients are organized in the real world, there are two groups of association labels. One set is for the company level only and the other set is for the location level only.
- How do I see and update contact association labels?
- Company Level Contact Association Labels:
- Primary-Billing Contact:
- What is does:
- Their email address is placed first in the "TO:" line for service documents and invoices.
- Assigning this label automatically associates this contact with ALL locations and ALL future invoices for this company.
- You will see this contact on the Locations labeled as "PBC - set at company only".
- Limitations: Can only be used on ONE contact per company.
- Required by HS: Yes
- What is does:
- Additional Billing Contact:
- What is does: Their email address is placed after the primary in the "TO:" line for service documents and invoices.
- Limitations: None
- Required by HS: No
- Accounts Payable:
- What is does: Indicates who we should contact in our accounts receivable workflows.
- Limitations: None
- Required by HS: No
- COI Recipient:
- What is does: Indicates who we send COIs to.
- Limitations: None
- Required by HS: No
- Primary-Billing Contact:
- Location Level Contact Association Labels:
- Job Contact 1, Job Contact 2:
- What is does: Indicates who is the first and second on the on the job contacts are that the operations field staff see.
- Limitations: Contact must have a mobile phone number. Only ONE of each label per location.
